Electronic communications can benefit various internal stakeholder groups, by speeding up the process and delivering information needed to make informed decisions. However, some forms of electronic communication are more suitable than others. Each form of communication has its advantages and drawbacks. Some are more appropriate than others, for specific purposes or tasks, within the organization. As a manager, the factors to consider are ease of use, location of stakeholders,portability, purpose of communications, and cultural/ethnic backgrounds and language barriers of users. Internal stakeholders, such as employees and board members, may have access to some or all forms of electronic communication, depending on their roles within the organization. Adaptability is another important consideration, for each form of communication. Some stakeholders may be able to adapt to specific methods, more easily than others, depending on the types of technology available to them and their views or beliefs about electronic communications, in various settings.

Instant Messaging

Instant messaging is an excellent form of communication for those with desk top computers and those with mobile devices alike. I allows for real time sharing of information, without delays. Any employee, in any location, who has internet access can receive an instant message. Reminders of meetings and asking brief questions are some ways IM can be used in the workplace. It may be more convenient and cost effective than using mobile phones, for companies with workers in overseas locations. There are no additional costs associated with the technology, like those for international calls. In some situations, instant messaging can be more cost effective to organizations that need to share information quickly. Board members are not employees and may be off-site, either at their own offices or somewhere else. Meeting and fundraising event reminders via instant message may be less interruptive than mobile phone calls, particularly for those who are busy with their own work.

Instant messaging is not the best form of electronic communication form of communication for sending private messages, or those that contain sensitive information. Someone who has a co-worker looking over his or her shoulder may not be able to keep this type of communication private, as there are no options for opening or closing messages, such as with email. Instant messaging is less secure than email, so it is less desirable for sharing sensitive company information (Root, 2004). Therefore, it is not the best electronic tool for file sharing. While many companies use this form of communication to answer customer questions and provide further details, it is less suitable for sharing account information and personal data.

Text Messaging
